How to Write Empty-State Copy When the Table Is Empty

Anyone shipping a dashboard can write empty-state copy in 10 minutes when the table is empty: one headline, one sentence, one next action. Run it in ChatGPT, Claude, or Gemini before a cute 404 joke trains the user to leave.

Empty-state copy is a door. If the screen apologizes for existing, you wrote a 404. If it sells the product, you wrote a hero.

Do not write this screen like 404 copy that sends people onward. A 404 is a wrong URL. This table is a correct URL with zero rows. Do not write it like a landing hero in one sentence. A hero is a claim for strangers. This screen is for a signed-in person with no records yet. Keep the sentence as plain as alt text that helps and ranks: what is missing, not a vibe. After they have rows, the changelog people can scan in 20 seconds is a different page. Do not put release notes in the empty table.

Write empty-state copy for a zero-row table

1. Name the empty object, not the brand

Instruct ChatGPT, Claude, or Gemini: "Do not draft a hero. Name the table in the user's words: invoices, guests, reports. If I did not name the object, write UNKNOWN and stop. No we haven't. No nothing to see. No illustration caption."

Paste the real noun from the UI. "Items" is not a noun. "Invoices" is.

2. Headline that says the table has zero rows

Send the noun back. Instruct: "Headline, eight words or fewer: there are no [noun] yet, or this [noun] list is empty. Do not pun. Do not blame the user. Do not blame the product."

Good: "No invoices yet." Good: "This report list is empty." Bad: "Your story starts here." Story is a landing hero.

3. One sentence that names the missing input

Instruct: "One sentence. Why the table is empty in a fact: no files uploaded, no guests invited, no jobs run. If I did not name the cause, write UNKNOWN. Do not invent a benefit."

Check three traps:
